The Industrial Asset Management Association Virtual Conference

Challenge:

IAMC The Industrial Asset Management Association typically holds their Annual Fall Forum each year at a destination hotel or conference center. The onset of the pandemic early in 2020 made it impossible to move forward with plans for an in person conference. IAMC chose AMP to convert what was a 4-Day live event into a 2-Day Virtual Event that would satisfy all the stakeholders, including the Board of Directors, Speakers, Corporate & Associate Member Attendees and Sponsors.

Solution:

AMP was able to leverage its partnership with 6Connex to create a virtual meeting environment for the 2020 IAMC Fall Forum that included a welcome lobby, general session room, breakout room, sponsor hall and member central areas where programming would take place. AMP utilized it’s arsenal of streaming software and licenses to provide IAMC with highly polished production for it’s keynote sessions as well as multiple licenses for both Zoom Webinar and Zoom Meeting, providing backstage technical support for speakers and facilitators alike. AMP’s created email marketing templates for IAMC to reach attendees, sponsors and speakers that alleviated work and stress from the IAMC team. AMP’s technical team provided pre-recorded and 1 to 1 training sessions for remote presenters so they would know what to expect and were comfortable with the technology and familiar with their support team.

The creative team prepared graphics and video content for Welcome & Welcome Back videos and the content management team organized, uploaded and tested all program content, identified sponsors, added gamification incentives and points for the leaderboard and instituted broadcast messages to drive attendees to sessions, sponsors booths and places within the environment to engage one another.

Outcome:

AMP successfully delivered a highly engaging, well organized virtual event. Attendees were excited and enthusiastic about participating in Keynotes, Breakouts and Round Table discussions, chatting with one another and competing for prizes in the scavenger hunt and other activities that earned prizes without any technical difficulties.

We have received so many nice comments from our membership, guests and Board of Directors about how much they enjoyed our virtual forum. The AMP team made our staff look good and created an enjoyable and informative conference. The IAMC staff has organized 36 in-person forums over the past 18 years. With this new and first-time format I must admit to considerable angst and apprehension on my part during the development stage. However, once the switch was flipped and the forum rolled out it was seamless and very well done.
